October at a glance

October 1 – 31, 2026 · Updated nightly at 2:00 a.m. · Compared with September · 22 clinic days

This month in one paragraph

A good month that could have been a great one. 41 new patients came in, up from 34; 26 of them found you on Google, 15 through search and Maps at no ad cost and 11 through the ads. Production reached $168,400 and collections $160,200, both ahead of September. The two things holding the practice back are the same as last month: 38 hygiene patients are overdue for their cleaning, and the phones go unanswered one call in seven on Mondays. Both have a fix in motion this week.

What we are doing next

  • 1Send the recall text to the 38 overdue hygiene patients on Thursday, Nov 5 at 10 a.m., then the second wave of 106 on Thursday, Nov 19 at 10 a.m. The wording is waiting for your approval.
  • 2Put the Invisalign landing page live and point the ad at it; half the people who click today leave within ten seconds.
  • 3Decide on a second person at the front desk from 8 to 10 a.m. on Mondays. That is the whole missed-call problem.
38 hygiene patients overdue for recallThey are more than 30 days past their six-month cleaning. The recall text campaign goes out Thursday at 10 a.m. once you approve the wording on the Approvals tab.
Missed calls run at 14% on MondaysAcross the month 12.7% of calls went unanswered; Mondays are worst between 8 and 10 a.m.
Insurance money older than 60 days fell by $5,400Two Delta Dental batches that were stuck since August were corrected and paid. $21,400 is still outstanding past 60 days; the plan to clear it is on the Finance tab.

What this means

The blue line is people who typed something like “dentist near me” or “emergency dentist Queens” and picked you. The red line is people a patient, a doctor or an insurance directory sent. Both lines are steady, which is what you want; a spike in blue usually means an ad is running and a dip in red means referrals are slowing. Week 1 is October 1 to 3 only.

What this means

We ask every new patient how they heard of you at the first visit and the front desk records it in Open Dental. 15 of 41 cost nothing: they found the Google listing on their own. The 11 from ads cost $250 each on average, which is fine against a first-year value of about $900 per new patient. Referrals from patients are the ones to protect; they accept treatment more often than anyone else.
